Privacy Policy - Processing of personal data in connection with the registration of the “Fiera ID” account and the request for and use of digital services provided by Fiera Milano S.p.A.

In compliance with Article 13 of Regulation (EU) 2016/679 - General Data Protection Regulation (GDPR), Fiera Milano S.p.A. (hereinafter also "Fiera Milano") wishes to provide a number of details regarding the processing of the User’s personal data in connection with the registration of the account named "Fiera ID" and the request for and use of the digital services made available by Fiera Milano, through the sites, portals and web applications (APPs) of Fiera Milano and of the events exhibitions and other events organised at the exhibition centre managed by Fiera Milano (such as the submittal of exhibitor applications, the purchase of visitor tickets, access to the event’s services, registration for events, meetings, or courses, etc.)[1].

User registration is compulsory for security purposes in order to access and use the digital services made available by Fiera Milano, including the management of the account through the specific profile or area reserved for the same. To proceed with the creation of the Fair ID, the User must enter certain mandatory personal data (first name, last name, and email address), which are required to process the account registration request and generate the relevant computer authentication credentials to be used to access the aforementioned services. Failure to provide the above-mentioned personal information, even in part, will prevent the User from registering and creating an account to use these services.

Consequently, the processing of the User’s personal data is necessary for the execution of the request for creation of the Fiera ID and of what is contractually envisaged in the applicable terms and conditions of use, as well as for the pursuit by Fiera Milano of legitimate interests in the performance of organisational, technical, and security activities related to the management of the User’s registration operations and related services, as well as the possible defence of rights in a court of law.

The e-mail address provided by the User for the creation of the Fiera ID and generation of the relevant credentials may also be used by Fiera Milano to send non-commercial communications relating to the services requested by the User.

The personal data provided by the User registered through the request for a service made available by Fiera Milano (the "Service") and released also during the use of the same Service and as part of the trade fair event (the "Event") in which the User participates, as well as acquired also from third parties, are collected and processed by Fiera Milano in order to provide the requested Service, in accordance with the relevant Terms and Conditions or conditions of use, as well as to manage the relationship with the User and conduct the administrative, organisational and technical activities required to provide the Service.

For these purposes, the processing of the User’s personal data, acquired in the ways indicated above (identification data, contact details, services requested and used, payment data, reference company, qualification, etc.), is necessary for the establishment and execution of the contract relating to the Service requested, for the fulfilment of related legal obligations and for the pursuit of the Company’s legitimate interests in carrying out the aforementioned administrative, organisational, technical and security activities related to the provision of the Service, the management of the relationship with the User and related participation in exhibitions and other events at the Fiera Milano exhibition centre, as well as the possible defence of rights in court. In such cases, the provision of the requested personal data is compulsory or in any case necessary for the User and their non-release, even partial, would not allow to activate and provide the requested Service. The User may also freely decide to provide some additional data, such as additional telephone numbers and information about the company he belongs to, which may be used to improve or customize the Service, as well as to facilitate contacts and communications with the Company: the release of additional data is optional for these last purposes and their failure to release does not affect the use of the requested Service.

For the purposes outlined above, the User’s personal data:

a) are processed by Fiera Milano, including by means of electronic tools, mainly computerised procedures and methods suitable for ensuring the security and confidentiality of the data, and may be stored for as long as the Fiera ID is active, with reference to the registration, and for the duration of the Service and the Exhibition with regard to the individual Services. In the event of deactivation of the Fair ID and/or termination of the individual Service and Exhibition, the data shall be further retained for the period of time provided for by the applicable regulations for administrative, accounting and tax purposes, as well as, for the period of limitation of the rights exercisable in this regard, in the event of disputes or litigation;

b) may be seen by the Company’s authorised employees and associates and those working for the facilities responsible for carrying out administrative, technical and security operations to provide the Service requested;

c) may be shared by Fiera Milano with other companies within the Fiera Milano Group, as well as with reputable companies that provide organisational and technical services, such as fitters, service and maintenance companies, printers, data processing companies, administrative consulting firms and performance measurement companies. Companies processing personal data on behalf of Fiera Milano act as data controllers;

d) may be communicated, depending on the Service requested, to other entities participating in the Event (exhibitors, buyers, visitors, etc.);

e) may be transferred to third countries outside the EU, only in accordance with the decisions of the European Commission which have recognised the adequacy of the data protection regulations in force in those countries, or on the basis of adequate guarantees (such as standard contractual clauses or binding corporate rules for groups), or, in the absence of such conditions, if the transfer is authorised by the User or is necessary for the performance of the contract with the User or on his or her behalf;

e) as far as exhibitors are concerned, they may also be distributed via the event’s website and catalogues, based on the obligations agreed upon in the corresponding contract or at the request of the User (see Smart Catalogue service).

The e-mail address and the address for the delivery of paper mail, provided by the User for the use of the requested Service, may be used by the Company for sending the Fiera Milano newsletter, as well as for sending communications relating to other services similar to those requested by the User, who may object at any time to the sending of such communications by selecting the appropriate option in the reserved area relating to his or her Fiera ID, forwarding an email to privacy@fieramilano.it or by sending a postal communication to the Company at the addresses below. 

The GDPR (Articles 15-22) grants the User the right to request access to personal data concerning him or her; the portability of the data provided if they are subject to automated processing based on consent or contract; rectification and/or integration if inaccurate or incomplete; erasure or restriction of processing if the conditions are met; objection to processing for reasons related to his or her particular situation and in any case for direct marketing purposes. Furthermore, the User’s right to lodge a complaint with the personal data watchdog shall remain unaffected, where deemed necessary, for the protection of his or her rights.
